Tasks & responsibilities
As Team Assistant/Administrative Coordinator you provide operational and administrative/processing support and coordination under high international exposure working with an internationally diverse team
Additionally, you are responsible for standardized procurement management such as ordering materials, services, and equipment/work resources as well as dispatch of documents and materials in compliance with regulatory requirements and, in some cases, support in contract negotiations.
You collaborate in the planning and monitoring of various budgets (e.g., personnel, travel) and their controlling.
You ensure the purpose-oriented flow of communication on mostly organizational, administrative and personnel matters (e.g., preparation and dispatch of circulars/announcements).
One of your key tasks will be the management of travel itineraries, including organization, travel budget tracking and reporting.
You will update and maintain the LEO intranet site.
Prepare and support onboarding of new team members.
You will correspond and coordinate activities with internal BI OPUs, external agencies, as well as Health Care Providers (HCPs) and External Experts (EEs) worldwide.
Moreover, you will be tasked with general administration and secretarial duties, including efficient dairy management of assigned team leaders / managers, guest registration, drawing up of reports and presentation in MS Office and BI software, e.g., Cora, IDEA, Veeva Vault, SAP etc.
Requirements
Completed apprenticeship as Administrative Assistant, Management Assistant or similar with minimum several years of professional experience in similar position
High level of communication skills & service orientation
Organizational talent with high flexibility
Independent and solution-oriented way of working
Reliability, loyalty and ability to work independently on assigned tasks
Friendly, self-confident, and determined presentation
Ability to manage and deal with confidential information
Initiative, flexibility, proactivity and ability to deal positively with rapidly changing conditions
Agility, ability to prioritize the wide range of activities and colleagues to be supervised
Ability to use digital technologies, artistic and creative skills
Experience/ further education in project management
Very good knowledge of English (C1)
